1) Scope
This Policy applies to SermentQuick mobile app, website, and related services ("Services").
2) Who is involved
- You / Account Owner: Business user who creates the SermentQuick account.
- Your Members/Customers: Individuals whose data you choose to store in SermentQuick.
- Your responsibility: You must have lawful permission to collect/store your members' data.
3) Data we collect
3.1 Account & business data
- Email (account identifier)
- Business/workspace details you enter (name, phone, address, etc.)
- Subscription/licence status (plan, renewal dates, payment status)
3.2 Member/customer data you upload
- Identity/contact: name, phone, email, address
- Optional: photo, notes, tags, profile fields (e.g., academic details)
- Membership: plan, start/end, renewals, status
- Billing: payment records (amount, mode, status, notes)
- Attendance: check-in/check-out timestamps (if enabled)
3.3 Device & security data
- Hashed device identifier (for device binding)
- App version, OS/device info (reliability/support)
3.4 Usage & diagnostics
- Basic in-app analytics (feature usage/performance)
- Crash/error diagnostics
3.5 Payment data
- Payments are processed by payment partners.
- We do not store full card/UPI/bank credentials.
- We may store subscription/payment references and status.
4) Why we use data
- Account creation and login
- Workspace creation and data syncing
- Core features (members, plans, billing, attendance, analytics, exports)
- Automations/notifications (expiry, dues, inactivity, backup status)
- Backups and restore
- Security, fraud/abuse prevention, device binding
- Support, bug fixing, service improvement
- Legal compliance where required
5) Where data is stored
- Cloud databases/infrastructure used to operate the Services (including backups/snapshots).
- Exports (PDF/CSV/Excel) are controlled by you once generated/shared.
7) Retention
- Retained while your account is active and for a reasonable period for recovery, disputes, and compliance.
- Backups retained based on plan settings and operational needs.
- Account deletion requests may be limited by legal/operational retention requirements.
8) Security
- Access controls (authenticated access)
- Hashed device binding
- Secure cloud infrastructure and encrypted connections where applicable
- Monitoring to reduce abuse
No system is 100% secure; we apply reasonable safeguards.
9) Your rights & requests
You can request (as applicable):
- Access, correction, update
- Deletion of account/workspace
- Withdrawal of consent (where applicable)
- Grievance redressal

10) Children's data
- SermentQuick is intended for business use.
- If you store minors' data, you confirm you have required permission/consent.
11) International processing

- "Last Updated" reflects the latest version.
